Looking for Senior Adm & HR Manager Generalist Role with 10 to 15 years of experience in Manufacturing Sector in Bengaluru

Key Responsibilities:

Talent Acquisition :

  • Maintain centralized database of budget, available, vacant status and track timelines and TAT to close positions.
  • Work closely with team, monitor, and lead and help them in the whole cycle of recruitment.
  • Directly responsible for closure of positions Maintain the Job Description database and update them based on need and advice periodically.
  • Build a database of possible recruitment sourcing options (online job portals, newspapers, social networking options etc), ensure timely advertisement of positions, respond to enquiries and monitor the efficacy of different methods, ensuring that the correct audience is targeted;
  • Work with Line Managers to design interview questions, in line with the Job Specification and Job Description;
  • Organize the administration and logistics associated with telephone and face to face interviews as applicable and monitor the quality across regions on a sample basis;
  • Participate in interview panels;
  • Provide feedback both to successful and unsuccessful candidates in a timely manner;
  • Negotiation of salaries, finalizing and seeking approval and release of offer. Directly responsible for keeping the TAT of the recruitment process on the shorter side and increasing efficiencies
  • Ensure that reference checking procedures are effective and undertake Branch and Support Staff residence verification visits

Onboarding and Joining Formalities.  

  • Closely track the joining timelines of offered staff taking from the recruitment completion, keep the stakeholders informed periodically on vacancy, filled and joining details.
  • Pre-inform the branches, regions, locations about joining of staff directly and ensure, joining formalities are completed on the same day of joining.
  • Ensure and track the initial orientation completion for all new joinees on a periodic basis and coordinate with training team for monthly induction of fresh staff.
  • Enroll candidates in HRMS on the date of joining and creation of personal file in HRMS(Oracle,HRIS)
  • Provide all recruitment approvals, joining kit, new joinee information per requirement for updating in payroll.
Learning & Development :

  • Drive L& D culture at organization by developing effective L & D process & Execution
  • Ensure 100% Compliance as per to Industry Norms (TS 16949 or any other internal/external Audit)

Employee Relations, engagement  

  • Undertake visits to floor for employee feedback and assessment of working environment.
  • Key point in addressing grievances if any received from employees by escalating to appropriate channels.
Performance Management
  • Co-ordinate and communicate the process involved in annual performance appraisal processes, assist in consolidation and finalization.
  • Oversee and manage a performance appraisal system that drives high performance
  • Performance Monitoring and Probation Review
  • o Track the settlement period of a newly joined employee, viz-a-viz based on their performance
  • o Work closely with team, Operations Team for ensuring timely completion of 30-60 -90 reviews after joining which leads to the decision on employee confirmation post probation period or extension or separation as appropriate.

Compensation & Benefits 

  • Assist in framing compensation & benefits planning, implementation and administration.
  • Support finance planning and tracking related to employee benefits scheme
  • Understand and process payroll for employees, leave management. .
  • Preparing management and employee communication/ town hall dashboards, MIS reporting, Ownership of communication boards for all legal, statutory and company
  • Provide required information/comp & Benefits reports to corporate on timely manner
  • Analysis & recommendation on Employee Benefits Medical, Bonus, Leave encashment

Payroll & Compliances  

  • Ensure that employee payroll processing is in compliance with state laws.
  • Assist in payroll accounting, transactions, reporting, stop payments and other operations.
  • Review payroll reports and timesheets for correctness before payroll transactions.
  • Ensure that employee payroll is processed accurately and timely.
  • Oversee salary changes, compensations, deductions, bonus, vacations payouts, and benefits for employees.
  • Provide job trainings and mentor team members as needed.
  • Assist in payroll and timesheet audit activities.
  • Assist in tax calculations and filing activities as per IT regulations.
  • Respond to payroll queries from employees in a timely manner.
  • Analyze payroll issues and recommend corrective actions.
  • Maintain payroll system up-to-date and accurate.
  • Maintain employee payroll records and timesheet data for future references.
  • Set-up payroll arrangements for new hires and terminate ex-employee profiles.
  • Ensure timely submission on Labour law reports to the department
  • Manage Labour inspector or any official visit seamlessly
  • Participate and take ownership of HR and payroll audits both externa and internal.
Administration :
  • Responsible for Admin Vendor management and preparation of agreements for vendor or contractor if any
  • Co-ordinate all employee Travel and visa formalities. Train the employees who are travelling on Cultural sensitivities
  • Administer Employee team building activities to enhance employee morale
  • Closely monitor facility management matters Housekeeping, Security ,contract labourers
  • Foresee Travel management and coordinate with team on transport, Guests, Travel, Visa processing etc.,
  • Event management- internal/ external
  • Drive CSR Initiatives and Diversity events
  • Assist in developing and maintaining a safety oriented Office /Warehouse culture warehouse facility
  • Coordinates and manages the administrative affairs (work meal, office supplies, office equipment, mailing services, cleaning services etc.)
  • Handling monthly petty cash and preparing expense report for the same
  • Handling printing/frames, issuance of business cards
  • Monitor facility management activities
Other HR Matters 

  • Coordinates employees survey and facilitate each department to develop and implement action plans.
  • Support to implement HR & Admin policies, procedures and programs to attract, develop, motivate and retain talents to meet human resources requirements in alignment with business strategies
  • Planning & Preparing MIS reports & Projections for every month and Updating internal portal & Maintaining candidate database timely and accurately.
  • Monitor work activities to ensure compliance with established policies and procedures of HR and administration management
  • Handle Separation /exit process
  • Coordinates employees survey and facilitate each department to develop and implement action plans.
  • Drive ethic /compliances awareness initiatives at facility
  • Responsible for HR & Admin Vendor management and preparation of agreements for vendor or contractor if any
  • Proactively promotes Actuant HR and admin programs to support organization and people development
  • Support MENACI On HR Operations

Required Capabilities:  

  • Strong people management skills, gained through managing and developing teams
  • Competence to build and effectively manage interpersonal relationships at all levels of the company
  • excellent interpersonal skills; understanding of people issues, conflict management,
  • Hands on experience on HRMS tools SAP, Success factors, Oracle
  • Strong project management skills
  • Ability to assess potential problems and make sound judgements around issues that may have an adverse effect on the business from an ER perspective
  • Candidate must possess strong knowledge in Benefit and Compensation Principals, Employee Engagement, Provident Fund, Labour Laws and Retrials.
  • In-depth knowledge of labour law and HR best practices
  • Ability to work well under pressure
  • Ability to demonstrate presence and credibility within the organization
  • Ability to communicate effectively with people at all levels
  • Good knowledge of India labour laws and regulations
  • Effective Negotiation and vendor Management
  • Fair Knowledge on HSSE & 5 s Model at work place
Experience/Education Required

  • 10-15 years total working experience
  • Strong verbal and written communication skills. (fluency Local Languages is added advantage)
  • Degree or Master Degree qualification or equivalent
  • A demonstrated ability of implementing human resource policies and processes (including recruitment and selection policies, disciplinary and grievance procedures, pay, contracts, and performance appraisal and quality management monitoring);
  • Experience in hiring mid- senior level positions.
  • Proven ability to work as an individual contributor, managing end to end tasks.
  • Worked in a multinational company with exposure to interaction with onsite customers/ clients
  • Ability to effectively manage multiple projects, relationships and leverage diversity in a global enterprise.
